The problem

Half of visits reach the CRM

Visits logged within 24 hours

52%

Target 80%Gap 28 pp

Largest gap. Only 52% of customer visits reach the CRM within 24 hours, which means the forecast is built on about half of the activity. The target is 80%, so the gap is 28 percentage points. The pilot goes after it directly: the assistant drafts the CRM update at the end of each visit and the rep approves it.

The cost

Reps lose 25 minutes per visit

Today, after each visit

25 min

With the assistant: review and approve

about 2 min

12
visits a week per rep
5 h
a week per rep spent writing
10
reps in the pilot team

Cost per week. At 12 visits a week, 25 minutes of writing per visit adds up to about 5 hours a week per rep, close to 50 hours a week for the pilot team of ten. The assistant drafts the email and the CRM update; the rep reviews both in about two minutes. The pilot measures the time after each visit, before and after.

The approach

How the assistant works

  1. Reads the meeting notes

The rep's notes from the visit, typed or dictated

  2. Drafts the follow-up email

Addressed to the customer, in the rep's name, ready to edit

  3. Proposes CRM field updates

Stage, next step and date, each linked to the note it came from

Approval rule. Nothing is sent and nothing is written without the rep's approval. The assistant proposes; the rep decides. Each proposal shows the line of the notes it came from, so a rep checks a change in seconds instead of rereading the meeting.

The risk

Reps approve every change

0

emails sent or CRM fields written without rep approval

What the assistant does

  • Drafts the follow-up email
  • Proposes CRM field updates
  • Shows the note each proposal came from

What it never does

  • Sends an email
  • Writes a CRM field
  • Contacts a customer

Scope limit. During the pilot the assistant runs in draft-only mode: no write access to the CRM and no outgoing mail. Sales operations confirms the draft-mode permissions by 28 May. Anything beyond that scope is a separate decision after the readout.

The test

Pilot design and success criteria

Duration
Four weeks, from 2 June
Team
Northern region, ten reps
Measure
Share of visits with a CRM record within 24 hours, read from the CRM every week
Also tracked
Drafts approved without edits; time spent after each visit

Success test. The pilot passes if at least 80% of visits are logged within 24 hours in week 4, from 52% today (the baseline on slide 3). The figure comes from the CRM each week, not from a survey. The readout on 7 July shows the weekly curve either way.

What happens now

Next steps

  1. 21 May

Decision requested: approve the pilot with the Northern region team.

  2. 28 May

Sales operations confirms CRM write permissions for draft mode.

  3. 2 June

Pilot starts and runs four weeks.

  4. 7 July

Readout to sales leadership with the share of visits logged within 24 hours, before and after.
